Patient Information

This module is used to capture identification and contact details of the patients.
It allows for:

  • Specifying medical conditions for patient
  • Tracking patient biohazards
  • Transmission of Patient information to external systems via an HL7 interface
Patient Registration

The Patient Registration module:

  • Is used to create new episodes for patients
  • Provides facile tracking of patient transactions via uniquely identifiable episodes
Appointment Scheduling

This module effectively reduces the time taken by call center staff to schedule appointment requests, maximizes the number of patients seen at a given clinic session and avoids booking conflicts.

The following is possible:

  • Make a new appointment or a series of appointments
  • Cancel or re-schedule appointments or entire clinic sessions
  • Handle patient waiting list
  • Move a block of appointments to a different time slot
  • Schedule multiple follow-up appointments
  • View and modify appointments over the internet (optional)
Counter Operation

Supported Counter Operations:

  • Open and Close counter at the start and end of a day
  • Open and Close sessions every time a counter operator changes
  • Tallying of collections at the start and end of a session
  • Following up discrepancies
Charging & Billing

The Charging and Billing module:

  • Becomes a single point of billing for all out-patients
  • Handles discount & subsidy schemes
  • Handles transactions that involve third party account payments
  • Includes various reports pertaining to billing such as outstanding payments and counter information
Accounts Receivable

The Account Receivable module:

  • Tracks accounts receivable and collection of outstanding payments
  • Provides outstanding information, by patient as well as by company
  • Provides ageing details
General Ledger

The General Ledger module:

  • Facilitates posting of financial information from SOCIS to hospital financial system
  • Generates multiple reports to extract account information
Back Office

The Back Office module:

  • Facilitates modification/rectification of erroneous charges & payments that may have occurred during billing
  • Helps keep track of transactions by way of Audit Trails
  • Allows for creation of credit and debit notes
  • Handles Refunds and Write-offs
  • Allows for payer and payment class changes
  • Handles account reconciliation
  • Restricts access by Role and User Access rights
Medical Records Tracking

The Medical Records Tracking system:

  • Enables monitoring physical movement of medical records of a particular clinic
  • Implemented via a Check-In Check-Out mechanism
  • Facilitates availability of Medical Records of Patients with appointments well in advance
HL7 Interface

The HL7 engine works as a standalone application generating HL7 messages from the data generated by Copernicus and sending them to the receiving applications.
